How to Track Who Viewed Your PDF
Share a tracked PDF link and interpret viewer identity, page activity, and the limits of engagement data.

On this page (9 sections)▼
You send a PDF proposal and wait. Did the recipient open it? Did they reach the pricing section? Would a follow-up be useful now?
Share the PDF through a tracked link, require email verification when identity matters, and review the resulting activity. Tracking can provide useful context, but it cannot prove that someone understood every page.
1. Prepare and upload the right PDF

Use the version you intend the recipient to review. Check page order, links, readability, and confidential material. A descriptive filename helps the reader recognize it.
Before uploading:
- Confirm the document's purpose on the first page.
- Remove internal comments and unfinished sections.
- Check tables and diagrams on a phone.
- Retain the approved source locally.
- Choose a platform that records document activity.
Begin with a harmless sample if this is your first tracked sharing workflow. Testing a sample lets you learn the process without distributing a confidential proposal.
2. Create a link and choose the identity requirement
A public brochure may not need a reader identity gate. A proposal may benefit from an email-based access record. Choose deliberately rather than making every document harder to open.
SendNow's access troubleshooting describes verification codes for email and specified-user gates. SendNow: Recipient access troubleshooting Capturing a verified email account still does not establish the person's job title, buying authority, or comprehension.
| Your goal | Setting to investigate |
|---|---|
| See activity without identifying everyone | Anonymous viewer analytics |
| Associate access with an email account | Email verification |
| Permit only named accounts | Allowed-recipient list |
| Separate outreach activity | Separate links, where supported |
Identity capture and access restriction are different decisions.
3. Test the link before sending

Open it in a private browser window using an authorized address you control. Complete the same access process the recipient will use. Check the document and then look for your test visit.
Your test may contribute to the analytics. Keep a note of its time so you do not mistake it for prospect activity.
Send the link as the primary access path:
Here is the proposal we discussed. The link will ask you to verify your email before opening the PDF. Please let me know if you have questions about the scope or schedule.
If you also attach the PDF, the recipient may open that copy outside the tracked viewer.
4. Check who accessed it

Review the visitor record for the relevant link. SendNow documents a Visitors table and displays captured email or an anonymous label. SendNow: Visitor records and export
Check the document, visit date, account, and whether the entry could be your test. An anonymous row tells you activity occurred without identifying the person. Location and device details should not be used to guess someone's name.
A record of access is useful even when the outcome remains uncertain. Keep it separate from a claim that the person carefully read or approved the proposal.
5. Interpret pages and viewing time carefully

Link-level analytics can help you find where recorded activity occurred. SendNow's page-engagement documentation describes page activity and link-specific metrics. SendNow: Page and video engagement
| Signal | Useful interpretation | Limit |
|---|---|---|
| View | Viewer activity occurred | Not proof of reading |
| Repeat visit | Activity returned | Not proof of intent |
| Page time | Time was recorded around a page | May include interruptions |
| Completion | Platform-defined progress | Not proof of understanding |
A long visit to pricing may mean interest, confusion, or an idle tab. Use it to prepare a useful answer, not to claim you know the reader's thoughts.
6. Follow up with a helpful question
A respectful follow-up gives the recipient room to explain what they need:
Checking whether you have questions about the proposal. I am happy to walk through pricing or the implementation timeline.
Avoid announcing that their viewing time proves they are ready to buy. Their response matters more than your interpretation of a chart.
An ordinary PDF attachment cannot usually be tracked retrospectively by uploading it later. For future activity, send a tracked link and ask readers to use the current copy. Files already downloaded remain outside the online viewer's later visibility.
Understanding bot and scanner signals
Email security filters, antivirus scanners, and automated preview crawlers can trigger link visits before a human recipient clicks.
- Immediate visits: An open recorded within 2 seconds of sending often indicates an enterprise mail scanner inspecting the URL.
- Single-page visits: Scanners typically ping only the initial landing screen, whereas genuine readers navigate multiple pages or review the proposal table of contents.
- Multiple IPs: Corporate security suites often resolve links across multiple geographically dispersed proxy servers.
Always verify high-intent signals through direct conversation rather than acting prematurely on an isolated webhook or automated visit record.
Frequently asked questions
Can I see exactly who read the PDF?
You may see the email account used for access when identity is captured. That does not prove who was physically viewing the screen or that every page was read.
Why does a visit appear anonymous?
No email may have been captured for that visit. Review the link's identity settings before sending it again.
Can I track offline reading after a download?
Online viewing analytics do not establish what someone later does with a downloaded copy.
